Each audience gets a focused experience while both portals run on the same application and project data.

Purpose-built relational database schema

Models companies, projects, contributors, uploaded media, production stages, payment, and approval.

Clients upload photos and videos directly from their browser using time-limited signed links.

Completed tributes can be watched and approved from the family portal, with sign-off recorded against the project.

How it happened

One platform, two very different users

Funeral directors start each tribute and track it through production. Families need a simpler space to add photos, videos, notes and preferences without seeing the operational side of the service.

We built a separate portal for each group, connected to the same application and project data. Everyone sees what they need, while the Timeless Tributes team manages the full job from one place.

The workflow follows the service

A tribute moves from nomination to invitation, media collection, production, payment, review and final approval. More than one family member may contribute, and individual files can carry their own notes or preferences.

We shaped the database and project stages around that real process. The production team can see what has arrived, what is missing and what is ready to move forward.

Photos, videos and payment in one place

Families can upload a large number of photos and videos, so files go straight from the browser to Cloudflare R2 through signed links. That keeps the upload reliable without sending every file through the application server.

Package selection and Stripe payment happen in the same journey. Once payment is complete, the project is ready for the production team without a separate admin step.

A clear finish

When a tribute is ready, the family watches it through a Vimeo Pro player inside their portal. They can review the video and approve it without moving into another tool.

The approval and acceptance of the relevant terms are recorded against the project, so the family has one clear final step and the production team knows the job is complete.
